Add, Cancel, or Edit a Game or Training

How to add a training or a game (all your regular season games will be put in the system by the club):
  1. Log in as a coach/manager
  2. Click “Admin” in the top right
  3. Under the Scheduling box, click on “Add a Game or Practice” (or “Recurring Games” if you want to add a recurring Game or Practice – instructions for recurring events are a little different but it should be self-explanatory)
  4. Pick the date, start and finish time in the requested format, pick a location, pick a category (training or game), pick your team, add any event notes, then press submit. 
  • All Games and Trainings will send an auto reminder email (with an RSVP feature if you choose to use it) 2 days before an event.
  • All Games and Trainings will send an auto reminder text 2 hours before an event (during sign up you must put your cell phone number in the cell phone box and pick your carrier for this to work)
  
How to cancel a training or a game (all your home games cancelled due to field closure will be cancelled by the club):
 
  1. Log in as a coach/manager
  2. Hover over “Teams” in the top nav, find your team, and click on it
  3. in the left nav
  4. Find the event you want to cancel and click on the orange edit button to the right of the event
  5. Under the "Details" section, change the "Status" drop down box to "Cancelled"
  6. Click "Submit" 
  • If the system is set to the "Live" mode, all coaches, managers, parents, and players will automatically be notified by text and/or email that the game or training is cancelled.

How to edit/change a training or a game (all your home games will be changed by the club secretary with your notification to secretary@utahstorm.org):
 
  1. Log in as a coach/manager
  2. Hover over “Teams” in the top nav, find your team, and click on it
  3. in the left nav
  4. Click on "Include past events" on the top right of the schedule (if you are editing an event that took place before today)
  5. Find the event you want to edit and click on the orange edit button to the right of the event
  6. Edit event date, time, location, category, status or other as necessary
  7. Click "Submit" 
  • If the system is set to the "Live" mode, all coaches, managers, parents, and players will automatically be notified by text and/or email about the change to the game or training. 
 

How to send an email and/or text to team and parents


How to post a team bulletin on your team home page (and optionally send that bulletin out as an email and text)
 
  1. Log in as a coach/manager
  2. Hover over “Teams” in the top nav, find your team, and click on it (you will now be on your team home page)
  3. Click on the green "+" button
  4. Enter "Title" (Subject) text, add any attachments, and write the email in the box
  5. Make sure the correct "Season" is selected
  6. Under "Recipient Team(s)", click on your team
  7. Click on the box to "Broadcast Message"
  8. If you want to optionally also send this as a text message, click on "Include Text Messages" (please note that an email and a text will be sent out; also, the text message will be limited in characters -- so if you want the complete text message to be displayed, be very brief)
  9. Click "Submit"

How to send an email using the full site

Option 1 (email only):
  1. Log in as a coach/manager
  2. Hover over “Teams” in the top nav, find your team, and click on it
  3. in the left nav
  4. Click on "Options" at the top right and select "Email Team"
  5. Enter "Subject" text, add any attachments, and write the email in the "Message" box
  6. Click "Send"
Option 2 (lets you send email, email and text, or text):
  1. Log in as a coach/manager
  2. Click on “Admin” in the top right corner of the site
  3. Under "Messaging", click on “Email Members”
  4. Under "Report Type" select "Send Email" or "Send Email and Text" or "Send Text Message"
  5. Select your team in the right hand box by clicking on it
  6. Scroll to bottom and click "Find Members"
  7. For "Send Email" or "Send Email and Text", enter "Subject" text, add any attachments, and write the email in the "Message" box (please note that text messages are only 129 characters -- any text past this amount will not be sent)
  8. For "Send Text Message", enter "Message" text
  9. Important Note:  If you use the "Insert Data Fields" option, an email will be sent out to everyone in the database (which means people will receive the same email multiple times if their email address is entered in the system on multiple people).  If you don't use these fields, the system will check the emails and only send out one email per email address.
  10. Click "Send"

How to send an email only (or email and text) using the mobile site:
 
  1. Log in as a coach/manager
  2. Click on "Messaging" 
  3. Click "Email Team"
  4. Enter email address, enter "Subject" text, and write the email in the "Message" box
  5. If you also want to send the message out by text, click on the box by "Include text message" (text messages are only around 129 characters -- any text past this amount will not be sent)
  6. Click "Send" 
 

Team Calendar Help


How to get my team calendar URL:

  1. Log in as a coach/manager
  2. Hover over “Teams” in the top nav, find your team, and click on it
  3. in the left nav
  4. Click on the gray “Options” box in the top right of the body of the site and select “Add to Google Calendar”
  5. You will see the Webcal Address” displayed
  6. Left click on the URL (and it will be all highlighted), then right click and copy URL
  7. Then go to your Google Calendar and follow the instructions on how to add my team calendar to Google calendar.
 
How to add my team calendar to Google calendar:
  1. Go to your Google Calendar in a web browser
  2. On the left column you will see “Other Calendars” with a down arrow to the right – click on the down arrow and select “Add by URL”
  3. Paste the team URL (from the instructions “How to get my team calendar URL”) by right clicking and then selecting “Paste”
  4. Click “Add Calendar”
  5. Wait until the new calendar loads – it will be called something like “Utah Storm Events”
  6. To change the color and name of the newly added calendar hover over the calendar name, then click on the down arrow which is on the right side of the calendar name, then click on a new color, then select “Calendar Settings”, change the “Calendar Name”, then click “Save” 
  • All your parents can also add this calendar so they have all your team info without ever entering anything!  The calendar will also show up on any smartphone that can sync with Google calendar.  See instructions below for iPhones and iPads.
 
How to add my team calendar that I just added to my Google calendar to my iPhone or iPad
  1. These instructions assume you already have other Google Calendars syncing to your iPhone/iPad (so that setup is not covered in these instructions)
  2. To make sure your newly added Google calendar(s) will sync, login to your Google account and then go to:  https://www.google.com/calendar/iphoneselect?pli=1
  3. A list of your available calendars will be displayed with an option to check a box if you want them to sync with your iPhone/iPad.  Click on the boxes (a check mark will appear)
  4. Click “Save” in the bottom right
  5. Your new calendars will not show up on your iPhone/iPad
